Zen Cart Export Orders to QuickBooks

Use Store Manager for Zen Cart in order to simplify the process of Order Export from your e-store to QuickBooks. With this powerful software you will be able to Export Orders swiftly and easily!

Note: Store Manager for Zen Cart QuickBooks Integration Addon should be registered in the same way as software. Connect our Support Team in case of any questions.

1. If you need to export orders from Zen Cart to QuickBooks choose Addons Tab and click QuickBooks Integration.

 

2. The Import/Export Wizard will open. Choose Export Orders to QuickBooks and press Next.

3. On the Export Preview Data Page you will be able to filter data by Order Date and Order Number. Keep in mind that all orders listed here will be exported to QuickBooks. You can also use  native greed filters. Simply click on the column headings, and sort the orders or use custom filter in order to rearrange the items.

Note that filters will affect the result of the export.

There is also an opportunity to choose Customer Identification method. Export will search for a customer using selected method of identification. The customer will be modified if found, if not - new customer will be added.

4. Before setting Export Options, you simply need to connect to QuickBooks. Select the corresponding option depending on whether QuickBooks is running at the moment. If QuickBooks is off you can connect to its data file (.qbw) anyway, just browse the one you need to proceed.
Then click Begin Session button.

5. Now, when the connection is established, set Export Options. Be attentive, because Export Options will affect the results. Check twice all the selections.

Note! You may need to allow access from QuickBooks Integration plug-in to QuickBooks. Please check if QuickBooks asks any confirmation (it will pop up automatically if needed) and proceed.

Let’s start from the Tax field:

  • Set Default Tax - this option will allow you to set a default tax type specified below. 

Taxable Item Code allows you to specify tax code that will be assigned to taxable products. If taxable item code is empty, click on the “Get Tax Items” in order to retrieve existing taxes from QuickBooks.
Sales Tax Item - allows you to choose a tax for the orders you export.

Now, set Order Options:

  1. Choose “Use my Cart Order Number”, if you want to export orders with ID that are performed in your Store Manager for Zen Cart. You can also “Let QuickBooks automatically assign order number and place the Cart Order Number in the Customer PO Field”. This means that all selected orders will be exported with a new ID, if needed. 
  2. Set the Order type. You may choose among Sales Order, Sales Receipt or Invoice.
  3. Click the option “Create customer if doesn’t exist” if you want to create one.
  4. “Assign all exported orders to” - will assign all the exported orders to the selected customer.
  5. If you click on the option “Create Product item, if doesn’t exist” QuickBooks will create one.
  6. Update Product Item Price - The price of the product will be substituted for the price in the last order.
  7. Export Refunds - All selected orders will be exported as Refunds (Credit Memo)
  • Push Export Shipping, if you want to export all the shipping information.
  • If you want to export shipping as a product choose Export Shipping as
  • Create Shipping option will create shipping as a product in QuickBooks database. 
  • Update Price - all the shipping prices will be substituted for the prices of the last order.

Group Item Discounts field:

  1. Adjust group item price by adding discounts - use this option for the Group products in QuickBooks. If you have Group products in QuickBooks with the same product name in the Store Manager, then while exporting this products from the Store Manager group discount will be used. 
  2. Click ‘Add description to discount’ if you need to add description to your discount.

Proceed to the Order Discount field, if needed:

  1. Click Export Discounts, if you need to export your discounts to QuickBooks database.
  2. Round Discount will cut all the numbers after the point
  3. Use existing discount item - will use the discount from QuickBooks database
  4. Use Store Manager order discount value - the discount name will be taken from QuickBooks and the order discount value from the Store Manager
  5. Create Discount - creates a discount as a product in QuickBooks.

6. Map Customers makes possible to map customers from your Zen Cart Store to appropriate items on QuickBooks. Do it either automatically or manually.

  1. Click “Fill Customers List” if you need to refresh or get items list from QuickBooks
  2. If you need to map the identical customers automatically, use “Auto Fill” button
  3. In order to clear mapping for selected items click “Clear mapping” button
  4. To map customers manually simply click on any store customer field and select one from the drop-down menu

When everything is ready click Next.

7. On the step Map Products you will be able to map products from your Zen Cart store to appropriate items from QuickBooks either automatically or manually.

  1. In order to refresh/get item list from QuickBooks, use "Fill Items List" button
  2. In order to map the same products automatically, use "Auto Fill" button
  3. Clear Mapping button allows you to clear mapping for selected items
  4. In order to show items description, enable corresponding check-box
  5. In order to map products manually, simply click on any store product field and select one from the drop-down.

Attention! When you press Export button the export will start! Be sure that all the options are set correctly. If there is any errors, press Back and make all the needed corrections.

To start the export press Export button.

8. The last step allows you to look through the detailed export log. Now, press Finish.

9. Check the result in QuickBooks
